Are you a highly organized and proactive professional who enjoys providing executive-level support? We're looking for a motivated Executive Branch Assistant to support local branch leadership while also serving as a key point of contact for Human Resources (HR) functions. This role offers the opportunity to make a meaningful impact by ensuring seamless administrative operations and effective communication between local teams and corporate departments.
What You'll Do:
Executive & Office Support:
Provide high-level administrative support to branch managers, including calendar management, research, and coordination of internal programs.
Act as the main liaison between the local office/branch and corporate teams, ensuring smooth communication and efficient resolution of inquiries.
Assist with new employee onboarding by guiding them through office practices and ensuring employment documents are completed correctly.
Schedule and coordinate orientation meetings with Accounting, Health & Safety, HR, IT, and other support teams.
Organize and execute office events, staff activities, and holiday celebrations.
Schedule office-wide meetings and arrange catering as needed.
Perform Notary Public duties for office-related documents.
Prioritize and manage multiple projects simultaneously, following through on issues to resolution in a timely manner.
Maintain and retrieve corporate documents, records, and reports as required.
Human Resources Support:
Ensure all new hire and employee records are properly forwarded to Corporate HR for file retention.
Verify employment authorization documents for foreign national hires and complete necessary legal documentation in compliance with federal timelines and company procedures.
Provide employees with guidance on HR policies, benefits, wellness programs, and recruiting resources.
Clarify benefits and leave-related questions using available company resources and direct specific inquiries to HR specialists.
Communicate and track employee status changes, life events, and position updates, ensuring all information is relayed to HR in a timely and accurate manner.
Support local hiring teams by assisting with recruiting tasks such as posting job requisitions, scheduling interviews, and tracking candidate progress.
Assist in drafting employment offers, ensuring compliance with approved templates and HR guidelines.
Keep employees informed of corporate policy updates and process changes.
What You Bring to the Team:
A high school diploma and 6+ years of executive-level administrative experience, OR an associate degree with 4+ years of experience (or an equivalent combination of education and experience).
Proven experience handling executive-level administrative tasks, including managing confidential matters and drafting professional correspondence.
Strong organizational skills with the ability to manage multiple projects and deadlines.
Excellent verbal and written communication skills with a professional and approachable demeanor.
High level of discretion and ability to handle sensitive information with confidentiality.
